Regulations on Late Return and Appeal Process


I. Relevant Regulations:

Refer to Article 7 of the《Rules on Student Hostel Management》

Article 7:Opening Hours for Main Entrance

Sunday to Thursday: 06:00—23:30

Friday to Saturday: 06:00—23:50

7.1 Residents shall enter or exit from their hostels with their campus cards or temporary resident cards through the security control system. No entry or exit is allowed beyond the opening hours.

7.2 If a resident has to go out beyond the opening hours due to special situations, he should submit a written application to the Student Learning Community Development Team of the SAO three working days in advance and get its approval.

7.3 If a resident has to go out beyond the opening hours due to sudden illness, he is required to get the approval of the SAO staff on duty. He is also required to present his personal identity to the hostel manager when he comes back.

Special Circumstances (e.g., medical treatment for illness, flight or train delays, club activities, or academic reasons):

Examples:

A medical certificate is required for hospital visits due to illness.

Train delay requires providing the ticket as proof.

Late return due to club activities or academic reasons requires verification by a faculty member as a witness.

II. Appeal Process: (Applicable only to the following special circumstances, with relevant proof or witness required)

Examples:

For hospital visits due to illness, a medical certificate must be provided.

For train delays, the ticket must be provided as proof.

For late return due to club activities or academic reasons, a faculty member must act as a witness for verification

Appeal Steps:

1. log in to the Student Affairs Management System→ Dormitory Life → Student Discipline and Behavior → Late Return Records, and follow the system instructions to submit an appeal for review.

Please complete the above appeal steps within 5 days of receiving the notification email. Failure to submit an appeal within the deadline will result in the late return being counted toward the semester's total.



Regulations on Staying Out Overnight


Refer to Article 10 of the《Rules on Student Hostel Management》

10.1 Residents are not allowed to sleep outside. With permission, he should not be absent more than three days a week. If a resident would like to sleep outside for more than three days a week, he shall submit an application at the Learning Community Development Team for SAO approval.

10.2 Residents who have no record at the hostel for more than three days a week according to the door control system shall be deemed as sleeping outside and shall be given disciplinary action of verbal reprimand, or warning or above.
